We are typically outsourcing at a premium level and price. We will likely pay in advance. This is at our risk. We require certain formalities before we proceed. With no offence intended, we are located internationally and need a way to make sure that your business is legitimate. We are also working across cultures and want to ensure we understand your business expectations. We also need formal estimates and invoices that outline your promises, costs and payment.
We generally require four types of documents:
Identifying the business. We need a document that includes all the registration requirements for your country. For example in Vietnam business either Limited liability company (LLC) or Joint-stock company (JSC). We need to know your registered business address, all directors including the resident directors name (email and phone), tax number, bank accounts and a copy of your registration certificate (BRC/ERC). We will ensure that all these components are consistent.
Terms and conditions of trade, payment and production. We need to know what you expect form our working arrangement. These may be found in once of your normal generic contracts. We want to read them now to ensure there is nothing unexpected.
Estimate of the services.* On letterhead. With the legal business name and registration numbers.
Invoice for the design.* On letterhead. With the legal business name and registration numbers.
Finally, we expect your agency to have a briefing checklist, forms, process or requirement specification.
