MOBILE DEVICES
We recommend downloading the Microsoft “Outlook” application from your app/play store. Once installed, open the Outlook app and follow the instructions to add your Microsoft 365 subscription. This will give you email, contacts and calendar functionality. (You will often need to access the setting and make sure that the phone can access you contacts.)
We do not recommend or support using the built-in email system on smartphones, tablets, laptops and computers. Subsequently, we do not recommend adding your email account to Apple Mail, Gmail, or Windows Mail. We recommend you add your Microsoft/Office 365 account to Apple iPhones for contacts and/or calendar manually and only if required. Google Android devices will synchronise the contacts from the “Outlook” application.

DESKTOP OR LAPTOP DEVICES
On desktop computers and laptops, you have the option of (a) using the Outlook webmail or (b) downloading the “Outlook (classic) desktop” software.
For advanced functionality on Windows, we always recommend installing the Microsoft Outlook (classic) desktop software and not the Outlook (new) desktop software. For Apple Mac, only one simplified version of Outlook is available. Both the “classic” version for Windows and the Mac versions are technically only available for paid Microsoft 365 plans.

Similarly, download and install the Microsoft One Drive software for personal cloud-based file storage and backup and Microsoft Teams for communication and collaboration.
Understanding Microsoft definitions:
“Microsoft Office” – Is the suite of software products including Word, Excel, PowerPoint, Teams and Outlook(classic). This used to be bought outright at retailers like Officeworks or directly from Microsoft. We do not recommend purchasing and renewing software like this anymore. We recommend purchasing Office within your Microsoft 365 subscriptions.
“Microsoft 365” – Starts with email, contacts and calendar. Subscriptions may also include One Drive (personal cloud storage), Teams (communication and collaboration), SharePoint (company-wide cloud storage). Many Office 365 subscriptions include “Microsoft Office” (desktop and/or web-based versions). Premium and enterprise-level plans include advanced security. endpoint management and corporate policies.
“Office 365” – Has been rebranded as Microsoft 365.
“Exchange” – Is the email service attached to your Microsoft 365 subscription. Larger corporations may still have an Exchange server running internally.
“Outlook online” – Is an online email application or webmail. Access to your email messages, contacts and calendar online here: https://outlook.office.com/mail/
“Outlook” or “Outlook desktop” – Is downloaded software to install onto a computer, phone or tablet to manage your email, calendar and contacts.
“Outlook Classic” – Is the original corporate version of Outlook desktop and has all the complex features needed by large organisations.
“Outlook New” – Outlook Classic, redesigned from scratch using a modern approach. It is simplified and missing many features foudn in the Classic version.
“Outlook.com” – Is a free email service with webmail. This is a reliable alternative to Gmail, or Bigpond. Create a free account here.
