Using the right email software

30 views 0 January 10, 2022 Updated on February 23, 2023 Websetgo Administrator

On all smartphones and tablets, we recommend downloading the Microsoft “Outlook” application from your app/play store. Once installed, open the Outlook app and follow the instructions to add your Microsoft 365 subscription. This will give you email, contacts and calendar functionality. (You will often need to access the setting and make sure that the phone can access you contacts.)

We do not recommend using the built-in email system on smartphones, tablets, laptops and computers. Subsequently, we do not recommend adding your email account to Apple Mail, Gmail, or Windows Mail. We do recomend you add your Microsoft/Office 365 account to Apple iPhones for contacts and/or calendar. Google Android devices will sychronise the contacts from the “Outlook” application.

On desktop computers and laptops, you have the option of (a) using the office.com webmail or (b) downloading the “Outlook Desktop” software. For advanced functionality we recommend installing the Microsoft Outlook desktop software from office.com. Run the software and follow the instructions to add your Microsoft 365 subscription.

Similarly, download and install the Microsoft One Drive software to allow cloud based file storage and backup.

Microsoft definitions:

“Microosft Office” – Is the suite of software products including Word, Excel, PowerPoint and Outlook. This used to be bought outright at Officework or direct from Microsoft. We do not reccomend purchasing and  renewing software like this anymore. We recomend subscriptions.

“Office 365” – Is far more than an email service. Office 365 subscriptions typically include “Microosft Office” (desktop and/or web-based versions). Email is called “Microsoft Exchange” and included calendar, contacts and One Drive (cloud file storage).

“Microsoft 365” – Includes everything in “Office 365” with the addition of Endpoint software and protection. In simple english it is bundled with Windows Enterprise and Defender.

“Outlook” – Is a software that you download on your computer, phone or tablet to manage you email, calendar and contacts. We will refer to this as “Outlook Desktop”

“Outlook.com” – Is a free email service.

“Exchange” – Is the email portion of your Microsoft 365 subscription.
